DETAILED Business Process Map

    Paper instructions:
    You need to draw a detailed BUSINESS PROCESS MAP using MS Visio or Similiar tool based on the Paper i have attached.
    I have highlighted the area you wanted to look in to in the instructions.
    I have attached a sample Process map with this order. But its only for reference (not relevant to the work)
    This assignment involves analysing a current real life business process within CPIT and identifying how this process might change to become more efficient or effective. The assignment output will be one report but divided into three parts, with each having a deadline and each being marked separately.
    ASSESSMENT BRIEF
    The use of video and audio (multimedia) continues to rapidly increase at CPIT, along with the demand to have it readily accessible over the internet. There is no current solution in place to handle the storage and streaming of large amounts of media at CPIT. This causes a significant amount time having to be spent manually store, manage and maintain media. It also often means the video and audio isn’t accessible for teaching and learning.
    To solve this problem, there is an opportunity to transform CPIT teaching practices through the way tools can now capture video and audio and provide interactions throughout the content. ICT, CED (Centre for Educational Development) and the LTU (Learning Technologies Unit) have been investigating tools to handle this and a product called Echo360 is seen as something that would meet our requirements around future focused education delivery. This includes the ability to capture lessons and have students using their devices to ask questions or create discussion points around the content before, during and after the lesson. Echo360 has offered CPIT a hosted one year trial which we have until 1st June 2014 to decide on.
    To satisfy the requirements for this assessment you must complete the following:
    PART A
    • Read the brief and background information above
    • A brief talk will be given bythe CPIT Project Manager – StuartWakerley on Thursday 5thSeptember. This is a compulsory session which you must attend in order to complete this assignment.
    • During this session you will have the opportunity to ask questions
    • Prior to this meeting, you are expected to review the provided background information and perform your own research on available information on the subject matter (lecture capture.) and where the project might fit within CPIT strategy. In preparation for this presentation, you must have questions ready in order to ascertain as much information as possible during this meeting, for example strategy, culture, the particular issues/opportunities etc. Copies of the CPIT institutional strategy and ICT functional plan will be provided
    • You will be assigned a process area for focus
    Output – A “Problem Statement”
    Sections expected in Part A (expected 2-3 pages):
    • Introduction outlining the process under investigation – from the general perspective and your specific area of focus
    • Background
    • Problem statement
    • Targeted benefits from a review of how the process can deliver value and implementation of the new services
    Excellent marks will be awarded when a student shows they have understood the environment, the current situation, the issues, the fit within the strategy and have done some external investigation and research on similar situations and how these processes might be improved
    PART B
    • Conduct preparation for your interview/workshop – this will include arranging time with participants (a subject matter expert for your area will be assigned to you), requesting a suitable venue/whiteboard, preparing questions
    • Carry out interview/facilitation to gather enough information about the current process in order to create a process map as well as more detail about the current issues and opportunities for this process, and how participants think these could be addressed
    • Create a process map describing the current process – include any relevant information e.g triggers, inputs, outputs, connection to other processes, business rules (can be part of a separate supporting document if not on process map) etc.
    Output – As-Is Process
    Sections expected in part B (expected 8-12 pages + process map):
    • Interview/workshop preparation – describe what you did to prepare for gathering the information
    • Interview output/notes – type up any notes you made during and after the interview/workshop – this section can be unstructured/draft
    • As Is process – process map drawn up in Microsoft Visio or other similar tool including all relevant information about the current process
    • Issues / Opportunities – from your information gathering, what issues do you see with the current situation? What are the opportunities?
    • Relevant business rules which may govern the process
    PART C
    Now that you have an understanding of the current process, the issues and opportunities as well as a high level understanding of the lecture capture options, you can put together a document which will feed into a high level project plan
    • Identify and critically assess possible functionality which needs to be delivered and which will resolve one key issue or opportunity raised in Part B
    • Who needs to be communicated to and what high level information do they need to know about the project
    • Recommend ‘next steps’
    • Identify risks and potential barriers to the implementation project
    • Identify relevant metrics and measurements that could be applied to assess the impact the change has on the business
    Output – high level project plan
    Sections expected in part C (expected 10-15 pages)
    • Business Objectives (this can expand on information previously given in the report)
    • Outline high level communication plan
    • Recommended solution /next steps for implementation
    • Potential benefits
    • Potential costs, risks and barriers
    • Impact assessment (possible impacts of the solution e.g. on the organisation, stakeholders, team, individuals etc.)
    • Metrics and measurements
    • Assessment 2 evaluation – what did you learn through this assessment? What went well? What would you do differently? Did anything unexpected happen? How did you deal with it?

    • All source materials used must be clearly identified and referenced. Where information is sourced from the Internet or electronic publications, APA format should be used for references.
    • The maximum file size should be 10MB to allow the file to be submitted to Moodle.
